AAST Policy on Room Reservation Support

AAST may consider reserving a room on behalf of a student organization if the Program can demonstrate meaningful involvement to UMD’s Scheduling Office. All room reservation requests will be reviewed on a case-by-case basis. Approval is not guaranteed and may depend on space availability and/or program capacity.

To submit a request, please review the following guidelines:

Registered and Non-Registered Groups

Per university policy, all UMD registered student organizations requesting use of a General Purpose Classroom (GPC), must contact the Stamp Student Union - Center for Campus Life at 301-314-8488 or stamp365classroom@umd.edu.

If your organization is not a registered student organization, we may assist with reserving space, provided other criteria are met.

Co-Sponsorship or Collaboration

We may reserve space if AAST is serving as a co-sponsor or active collaborator for the event.

Co-sponsorship may include one or more of the following:

  • Allowing use of AAST’s name and/or logo on promotional materials

  • Providing financial support

  • Providing faculty or staff participation

  • Assisting with event planning and/or coordination

  • Sharing AAST program information (About the AAST Minor, upcoming events)

Advance Notice

Reservation requests must be submitted at least one (1) week prior to the requested event date. Requests received less than one week in advance will not be considered.

Please submit the following information at least one week in advance to aast@umd.edu:

  • Contact person’s name and email

  • Name of organization (state whether registered or non-registered)

  • Event title and description

  • Event date and time

  • Preferred location(s)*

  • Expected attendance

  • Description of requested co-sponsorship (i.e. describe how you would like for AAST to collaborate: funds, advertisement, faculty/staff participation, etc.)

AAST controls access to two conference rooms in Susquehanna Hall that are not subjected to all of the requirements above: SQH 2122 and SQH 3105.

SQH 2122 is a windowless room without access to A/V. The conference table can comfortably fit 10 people. There are two dry-erase boards. You are welcome to bring your own projector if you have one and can be displayed on one of the blank walls.

SQH 3105 has windows, access to A/V, and a pull-down projector screen. The conference table can comfortably fit 16 people, with additional chairs lining the side and back walls. Tables and chairs can be rearranged, but must be put back to its original setting. There are two dry-erase boards.
